What a copier lease costs in Atlanta

Copier leases in metro Atlanta run $100 to $400 per month for most small and mid-sized businesses in 2026. Entry-level monochrome desktops start at about $50 a month, mid-range color MFPs run $150 to $300, higher-end color with finishing runs $300 to $450, and production machines start at $475 and up. The lease covers the hardware only. Service and toner are separate, at $0.01 to $0.015 per black page and $0.06 to $0.12 per color page.

The lease payment is only half the bill

Most dealers quote a single monthly number that bundles hardware and service together. That number hides the real cost, because the service component scales with your volume and the hardware component does not. Force every dealer to break out hardware and service separately. A dealer who will not is telling you who to work with.

Here is the math on a typical mid-range color MFP. The lease runs $225 a month. The service agreement runs $0.012 per black page and $0.08 per color page. On 5,000 black and 1,000 color pages a month, the service adds $60 black plus $80 color, totaling $140. Add the $225 lease and the total is $365 a month. The lease is 62 percent of the bill. The service is 38 percent.

If a dealer quotes you $365 a month without breaking it out, you cannot tell whether the lease is too high, the service rate is too high, or both. Break it out. If the dealer will not, walk.

Term length arithmetic

A $12,000 machine at 60 months runs about $235 a month and $14,100 total. The same machine at 36 months runs about $370 a month and $13,320 total. The 60-month lease costs less per month but more over the term, and you are locked into the same machine for five years.

36 or 48 months is right for almost every office under 15,000 pages a month. The machine is current, the technology is current, and you can upgrade at the end without paying a penalty. If a dealer only shows 60-month numbers, ask for the other two. A dealer who will not show 36 or 48 is telling you something, and what they are telling you is that the 60-month number looks better on a quote.

The four clauses that decide whether you overpay

Fair market value vs $1 buyout

Fair market value leases have lower monthly payments, but you own nothing at the end. You return the machine, extend the lease, or buy it at fair market value, which is usually more than the machine is worth on the open market. $1 buyout leases cost more per month, but you own the machine for $1 at the end. Know which one you are signing.

Automatic renewal

Most FMV leases roll into month-to-month or a further twelve months unless written notice is given 90 to 120 days before expiry. Put the notice date in a calendar with a person's name on it the day you sign. We remind our customers, but the notice is your responsibility.

Return condition and freight

Returning the machine at lease end can cost $300 to $800 in freight if the lease does not cover it. The lease also specifies the return condition. If the machine has scratches, dents, or missing parts, the leasing company can charge for refurbishment. Ask who pays for return shipping and what condition is acceptable before you sign.

Georgia personal property tax

Some leases pass through Georgia personal property tax on the equipment. It can add $50 to $200 per year. Ask whether it is included in the monthly payment or billed separately. If it is billed separately, it is a surprise in year two.

What actually changes your price

Volume, speed, finishing options, and color capability are the four variables that move the monthly number. Speed is the biggest driver: a 55-ppm machine costs more than a 25-ppm machine from the same manufacturer. Finishing options like stapling, folding, and hole punching add cost. Color costs more than monochrome.

Here is a recommendation that sells less machine: if under 15 percent of your volume is color, price a monochrome machine and send color jobs out. A monochrome lease at $75 to $150 a month plus occasional color printing at a local print shop is cheaper than a color lease at $200 to $350 a month for an office that rarely uses color. We will tell you that on the phone, because we make the same margin either way and the honest answer is what keeps the phone ringing.

Used and refurbished

[PRO-TEC: refurbished inventory range and typical monthly on 36 months]. Refurbished leases cost less per month and the machine is serviced by the same technicians who service our new units. The meter reading and replaced components are disclosed before you sign. For most offices under 5,000 pages a month, a refurbished lease is the lowest total cost option.

Before you sign: three quotes, broken-out pricing, bring your meter

Get three quotes. Not three numbers from the same dealer, three quotes from three dealers. Force each one to break out hardware and service separately. If a dealer will not, that dealer is not competing on price and you should find out why.

Bring your meter reading. Divide the lifetime count by months owned for your true monthly volume. The number is usually about a third of what the office manager estimates. The right machine, the right term, and the right service rate all depend on that number, and a dealer who sizes the machine without asking for it is guessing.
