Quick answer: Don't pick a copier from a spec sheet. Ask the dealer to show you the machine running, and bring your own work: your longest real document, a color job, a stack of paper for scanning and a packet that needs stapling. Time the jobs, confirm the scans land where your staff actually saves files, and count how many taps it takes to do the task your office does 40 times a day.

It's the step most people searching for copier sales near them skip, and it's the one that saves the most regret. Spec sheets are written to be compared, and they compare well. Every machine in a class prints fast, scans fast and has a big touchscreen. What a spec sheet can't tell you is how the machine behaves with your documents, your network and the person at the front desk who will use it most.

Why the speed on the brochure isn't your speed

There's an international standard for measuring how productive a printer is: ISO/IEC 24734, now in its third edition from 2021, which lays out a repeatable test so comparable devices can be judged fairly. Repeatable tests are what make two brochures comparable.

It isn't your office, though. Your real jobs have two-sided pages, mixed paper, stapling, scanned PDFs with heavy images, and a queue of six people printing at 8:55. A demo with your own files shows you the speed you'll live with.

Bring five real jobs

Bring the longest document your office prints regularly and run it two-sided. Bring one color job with photos or charts, since color quality differences show up there rather than on a test page. Bring a stack of 30 to 50 mixed originals for the document feeder, including a few that are wrinkled, stapled-then-unstapled, or printed on thin paper. Bring a packet that needs finishing, like a stapled report or a hole-punched handout, if your office does that. And bring whatever your staff complains about now, whether it's envelopes, labels or legal-size pages.

Watch the feeder on the scan stack. Feeding mixed, used originals cleanly is where machines in the same class can feel very different.

Test the scan path, not just the scan

A scan that looks perfect on the copier's screen means nothing until it lands in the right folder or inbox. Ask the dealer to scan to the destinations your office really uses: a shared folder, an email address, a cloud app. If the demo is at the dealer's location, ask how that setup gets done at installation and who does it. Our article on buying from a local dealer vs. buying online explains why scan-to-folder is where many installs stall.

Count the taps

Pick the one task your office repeats most. Maybe it's scanning intake forms to a patient folder, maybe it's printing two-sided contracts. Do it on the demo machine and count every tap. Then ask whether the dealer can build a one-touch shortcut for it on the home screen. Modern Ricoh and Konica Minolta panels can usually be set up this way, and a shortcut that saves four taps saves a lot of them across a year.

Ask to see the security settings

The FTC calls digital copiers computers because many of them store document images on an internal drive. At the demo, ask to see user sign-in at the panel, secure print release, and the drive encryption and overwrite settings. Pro-Tec explains release printing in How to Set Up Secure Print Release on a Copier. If your office handles patient, client or financial records, this part of the demo matters more than print speed.

Is it the right size?

Oversizing is the most common and most expensive mistake Pro-Tec sees, and the sales and leasing page gives a simple example: a five-person office printing 2,000 pages a month needs a different machine than a 40-person firm printing 30,000. A demo can make a bigger machine feel impressive. Before you fall for it, check your current monthly volume from the counter and compare it with the machine's recommended range. Pro-Tec's guide to choosing a copier for your business size helps here.

If the budget is tight, ask to compare a refurbished unit of the same class. Pro-Tec says refurbished Ricoh and Konica Minolta equipment typically leases for 20 to 40 percent less per month than new, with drums, fusers and feed rollers replaced. Your demo checklist

  1. Run your longest real document two-sided and time it.
  2. Print one color job with photos or charts.
  3. Feed 30 to 50 mixed, used originals through the scanner.
  4. Scan to the exact folder, inbox or app your staff uses.
  5. Count the taps for your most common task and ask for a shortcut.
  6. Ask to see sign-in, secure release and drive overwrite settings.
  7. Compare the machine's recommended volume with your counter.

Call Pro-Tec Copier Services at 678-469-6608 and ask them to match two or three Ricoh or Konica Minolta models to your monthly page volume before you test anything.

FAQ

What should I bring to a copier demo?

Your own documents: a long two-sided job, a color job, a stack of mixed originals to scan and anything your current machine struggles with.

Is the rated pages-per-minute speed accurate?

It's useful for comparing machines in the same class. Your real jobs, with two-sided pages, finishing and a busy print queue, will run differently, which is why a demo with your own files matters.

Should I demo a refurbished copier too?

If cost matters, yes. Pro-Tec says refurbished Ricoh and Konica Minolta units typically lease for 20 to 40 percent less per month than new machines in the same class.

How do I know what size copier I need?

Start with your monthly page volume from your current machine's counter, then your color-to-black ratio and how much you scan.
